System Analysis: Examination of Billing Procedures

Leake & Watts Services, Inc., a private, not-for-profit, child-care agency based in Yonkers requested a Capstone team review and make recommendations regarding their internal billing services. The annual budget for Leake and Watts has nearly doubled in the last five years due to the addition of residential and group home capacity and the addition and diversification of programs. This growth and diversity has resulted in delays in billing for services and therefore a loss of reimbursements. The Capstone team investigated internal information flow and researched systems at other residential programs to develop recommendations to improve the billing process at Leake and Watts. The Capstone team provided the client with a process map that charts the flow of information and required documentation, and indicates appropriate managerial control to ensure accurate and timely reimbursement a process guide which describes the implementation of the process map, and an outline for staff training to implement the new processes. Additionally, the Capstone team facilitated the organization’s expanded use of MIS tools.
